Automating Month-End Close for Small Multi-Entity Groups
A practical guide to cutting month-end close time from days to hours for companies with 2-10 entities across different ERPs.
The month-end grind
If you manage finances for a multi-entity group, you know the drill. Every month:
- Chase trial balance exports from each entity
- Open each file, figure out which columns are which
- Remap account codes to your consolidated chart
- Convert currencies at the right rates
- Hunt for intercompany transactions
- Eliminate them, re-balance, export

What can actually be automated
Not everything in month-end close can (or should) be automated. Judgment calls - like evaluating whether a variance is material or how to classify an unusual transaction - still need a human.

Column detection
Every ERP exports differently. QuickBooks puts the account number first. Xero puts the account name first. SAP exports with German headers. A good tool detects the layout automatically, in any language.
Account mapping
Once you’ve mapped “4000 - Sales Revenue” in Entity A to “Revenue - Product Sales” in your consolidated chart, that mapping should persist forever. Not rebuilt every month.
Currency translation
IAS 21 prescribes specific rate types:
- Closing rate for balance sheet items (assets, liabilities)
- Average rate for income statement items (revenue, expenses)
- Historical rate for equity items
This is deterministic. There’s no reason a human should look up rates and apply them manually.
Intercompany elimination
If Entity A owes Entity B $50K, and Entity B shows a $50K receivable from Entity A, these cancel out in consolidation. Pattern-matching on account names, entity prefixes, and amounts catches most IC relationships automatically.
What the first month looks like
Month 1 is setup. You:

- Set your base currency and provide exchange rates
