Trial Balance Consolidation: Excel Macros vs. Dedicated Software

Comparing the real cost and risk of Excel macro-based consolidation against purpose-built consolidation software for multi-entity groups.

The macro trap

Every multi-entity finance team starts the same way: someone builds an Excel workbook with macros that pull trial balances together. It works. For a while.

What macros do well

The problems compound with scale:

Format fragility

Macros depend on columns being in exact positions. When Entity B switches from QuickBooks to Xero, every VLOOKUP breaks. When the French subsidiary exports with semicolons instead of commas, the import fails silently.

No audit trail

A macro transforms data in place. There’s no record of what the raw input looked like, which rows were excluded, or how currency translation was applied. Auditors ask, and you rebuild it from scratch.

Currency translation

IAS 21 requires different exchange rates for different account types: closing rates for monetary items, average rates for income/expense, historical rates for equity. Macros that apply a single rate get this wrong, and the error compounds across periods.

Single point of failure

The workbook lives on one person’s laptop. The macros are undocumented. When that person is on vacation during close, the team scrambles.
